How to Import PDF Bank Statements into QuickBooks Online

QuickBooks Online can't read PDFs. It needs CSV, QBO, or OFX files. Since most banks only give you PDF statements, you need to convert first. There are two ways to do this.

Method 1: Convert to CSV, Then Import

Step 1: Convert your PDF

  1. Upload your bank statement PDF at statementpro.app
  2. Statement Pro detects your bank and extracts transactions
  3. Click Download CSV

Step 2: Import into QuickBooks

  1. In QuickBooks, go to Banking (or Transactions > Bank Transactions)
  2. Click Link account > Upload from file
  3. Select your CSV file
  4. Map the columns: QuickBooks asks you to match Date, Description, and Amount
  5. Pick the bank account to import into
  6. Click Import

Note: QuickBooks has a 350 KB file limit for CSV uploads. This is rarely an issue since CSVs are much smaller than PDFs.

QuickBooks expects at least three columns: Date, Description, and Amount (negative for withdrawals, positive for deposits). Statement Pro's CSV output already matches this format.

Method 2: Push Directly from Statement Pro (easier)

You can skip the CSV step entirely:

  1. Connect QuickBooks: In Statement Pro, go to Account > Integrations > Connect QuickBooks
  2. Pick a bank account: Choose which QuickBooks account to push to
  3. Upload your PDF and convert as usual
  4. Click "Send to QuickBooks" on the results page

No files to download, no files to upload. Transactions go straight into QuickBooks.

Tips

  • Check what date range is already in QuickBooks before importing to avoid duplicates
  • Run bank reconciliation after import to match against your statement balance
  • You can categorize transactions in Statement Pro before import, which saves time in QuickBooks

Can I import PDFs directly into QuickBooks?

What if QuickBooks can't read my CSV columns?
